Description:
Reporting to the Senior Officer, Rural Acute and Primary Care, the Administrative Assistant serves as the central point of contact and provides comprehensive administrative support across the portfolio. This role supports program priorities and day-to-day operations while managing the Senior Officer’s schedule and coordinating the logistics of meetings, events, and travel. In this role, you will effectively manage multiple priorities in a dynamic, high-volume environment while maintaining a high level of accuracy and attention to detail. You will coordinate meetings, special events, and related logistics, ensuring seamless execution from planning through completion. You will prepare correspondence, memorandums, reports, and spreadsheets; reconcile and analyze expenditures; and organize large volumes of documents and project files. The Administrative Assistant will support recruitment activities by coordinating interviews and assisting with onboarding processes. You will prepare expense claims and manage office supplies and equipment as required. Working closely with program teams and service departments, you will provide administrative and secretarial support as needed, including support to Site Administrators in alignment with their responsibilities. This role also contributes to improving administrative processes and enhancing efficiency across the portfolio. In addition, you will provide guidance and coordination for administrative staff within the portfolio, supporting orientation and promoting consistent administrative practices. This position is non-unionized.

Post-secondary certificate in administration and at least 2 years directly related experience supporting a senior administrative lead. A combination of related education and experience will be considered. Proficiency in Microsoft Office suite.

Sound critical thinking skills will enable you to assess situations, identify issues, and contribute to effective solutions. This position requires a strong commitment to maintaining privacy and handling confidential information with discretion, professionalism, and integrity.
Preferred Qualifications:
Ideally you have working knowledge of Connect Care, RMS, iExpense and supply procurement processes. Experience in working in a large healthcare setting and understanding of rural needs will set you apart.
