Your Opportunity:

Reporting to the Manager of the Central Staffing Office, the Clerk IV - Staffing Clerk position provides staff scheduling support to multiple programs across Covenant Health. Currently, the Staffing Clerk uses the ESP staff scheduling application as well as Automated Shift Callout and works within established staff scheduling processes to complete complex and often urgent staff scheduling tasks within short timelines in a busy, high-pressure environment. You will ensure that employees are scheduled appropriately, and employee pay data is captured in accordance with Covenant Health policies, procedures, and collective agreement provisions. You must enjoy providing outstanding customer service in a fast-paced environment while adapting to frequent interruptions and shifting priorities. Your key responsibilities will include but are not limited to filling pre-booked and immediate shifts that result from staff vacation, leave of absence, illness and education leave; anticipating staffing needs and informing managers of shifts that require further attention; entering data for payroll; and providing scheduling reports, records and statistical information. The Clerk IV provides complex clerical support. The Clerk IV performs these tasks in accordance with established standards, and the Mission, Vision, Values, policies and procedures of Covenant Health. This position is covered by the terms and conditions of the CUPE 41 Collective Agreement.

Required Qualifications:

One year related post secondary certificate required. An equivalent combination of education and experience may be considered.

Additional Required Qualifications:

Completion of post-secondary education (e.g., diploma in business or office administration, Unit Clerk). Proven experience with ESP and Automated Shift Callout software required. The role requires a solid understanding of various collective agreements utilized within Covenant Health such as UNA, CUPE, AUPE, AUNP and HSAA and related legislation, coupled with proven proficiency in Microsoft Word, Excel, Access, PowerPoint, Outlook, MS Teams, and internet applications. Excellent comprehension of the English language, both written and verbal is required and evaluated. High degree of customer service, both in-person and by phone/email, problem solving, conflict resolution, critical thinking, and interpersonal skills are required. Must have the ability to work independently with minimal supervision and direction, within a team environment. Must have demonstrated ability to pay close attention to detail with a high level of accuracy. Must be able to have superior ability to organize and prioritize. Must be organized, flexible and able to prioritize tasks to meet the demands of changing deadlines. Must be able to work collaboratively with colleagues, partners, and clients to achieve shared goals. An excellent attendance record, reliability and personal suitability must be demonstrated through employment references.

Preferred Qualifications:

Preference will be given to applicants that have Covenant Health Automated Shift Callout and Timekeeper training and access.
