Description:

The Communications Admin Officer serves as a point of contact/liaison in the department to internal and external stakeholders to ensure information is collected, collated, and disseminated in an efficient and timely manner. The incumbent in this position will: Relay pertinent/key information to and from the Manager to ensure all parties are briefed; Provide support and project coordination for communications projects, events, and campaigns as assigned; Participate in cross-functional project teams, assisting with the development and execution of various components of marketing communication strategies; Prepare and process invoices (accounts payable and potentially accounts receivable) in a timely manner using appropriate codes and procedures. You will also Maintain annual team calendar and ensure that the team adheres to legislated or policy requirements e.g. Hazard & Remote Work Assessments, Code Reviews etc; Arrange meetings or meeting series for multiple participants as required; Prepare and distribute meeting agendas ahead of meetings as required; Fulfill Timekeeper responsibilities for time entry ahead of the established deadlines and cut off dates; Assist with identifying time keeping irregularities and correcting them; Pursue professional development to ensure currency of skills and to grow as a professional; Carry out other duties as may be assigned and/or critical to the success of this position. The ideal candidate leverages their administrative skills including experience with cross functional collaboration and effective communication skills. They have self-leadership and stakeholders’ engagement skills with an ability to coordinate change or other project initiatives within an organization. This position is non-unionized.

Required Qualifications:

Grade 12 diploma or recognized equivalent required. A minimum of two (2) years of related administrative experience is required.


Additional Required Qualifications:

Proficiency in using a variety of computer applications, including the MS Office Suite; Experience with Microsoft Teams, SharePoint, and Adobe Acrobat; Excellent verbal and written communication skills; Demonstrated ability to work effectively both independently and on projects that require extensive collaboration with diverse stakeholders; Excellent organizational and prioritization skills, with an aptitude for resourcefulness and adaptability to change; Demonstrated interpersonal savvy and a client service orientation; Strong attention to detail, ensuring the accuracy of facts, figures, and information provided; Ability to multitask; Strong customer focus; Alignment with the mission and values of our organization is essential.


Preferred Qualifications:

Undergraduate diploma or degree; Course work or workshops on office administration, writing, or project management; Healthcare and/or public sector environment experience; Experience in managing budgets, invoicing, and processing expense claims; Employee timekeeping experience with Oracle PeopleSoft would be an asset; Experience using content management systems an asset.
