Required Qualifications:

Completion of grade 12 supplemented with office administration diploma or certificate. Minimum 5 years of progressively responsible administrative support experience required. Must be proficient learning and using a variety of computer applications including MS Office Suite. Must be extremely accurate and detail orientated and capable of managing multiple priorities while displaying a positive, professional demeanour. Ability to confidently interact with all levels within the organization and with external stakeholders. Strong organization skills and excellent communication skills (verbal and written) and formatting, grammar and spelling. High standard of ethics and confidentiality in handling of sensitive information. Ability to work independently with minimal direction/supervision. Ability to complete duties with numerous interruptions.

Additional Required Qualifications:

Schedules appointments and maintains the SOO's calendar in an atmosphere of constantly changing focus and priority. Manages the calendar and coordinates associated business travel, including preparing required travel approvals and related expense claims. Works collaboratively with all members of the team to ensure required work is completed and any emerging issues are escalated. Distributes, requests and collates information and responses on behalf of the SOO. Tracks requests to ensure timely follow-up/response to items/issues in progress. Tracks performance management due dates and coordinates performance management process (including scheduling of regular performance review meetings). Ensures SOO has all available information required for meetings and prepares day folders for SOO containing materials and information. Provides support for meetings, special events and retreats; booking venues, catering, coordinating video/teleconference, recording and transcribing minutes. Prepares correspondence, presentations and memos for review/signature for the SOO. Maintains and organizes information, files and records. Monitors and orders supplies and equipment on behalf of the office. Completes timesheets for SOO direct reports staff.
