This position manages the VP’s calendar and email inbox, ensures the VP has all available information required for meetings, reconciles and analyzes expenditures, drafts correspondence and agendas, books meeting and event spaces, books travel arrangements, maintain the record management and filing system, and performs other related duties. This position reports to the Vice President, Growth & Development and is the first point of contact for the Growth & Development Portfolio. The Executive Assistant is responsible for Developing, Implementing and Maintaining detailed calendar for the VP, Growth & Development in an atmosphere of constantly changing focus and priority; Reviewing and actioning the VP’s emails for meeting, conference or speaking invites, meeting declines, and high priority items to be immediately circulated; Circulating or forwarding the VPs emails as required; Consulting with the VP’s team for speaking notes and materials for speaking engagements and meetings; Greeting guests, building rapport, helping guests with wayfinding, making guests feel comfortable and Introducing guest to the VP; Maintaining effective office systems/clerical processes with proper naming convention within proper directories. This position would also Monitor office resource utilization and order supplies and equipment on behalf of the office and/or portfolio; Develop and maintain vacation approval and tracking system for Office of the VP and its Leadership Team; Track and document all Covenant Health and Catholic Health of Alberta expenses that are reimbursed from a third party; Develop, implement and execute team building activities for the VP’s Team as necessary; Performs other duties as assigned. The ideal candidate is great at leveraging their administrative, financial acumen, stakeholder engagement, organizational, time management & communication skills to deliver quality work that moves the team and Office forward. Occasional travel and weekend hours may be required. This is a non-unionized position.

Completion of post-secondary diploma in office administration or related fields; 5-8 years of progressively responsible administrative support experience in an executive/senior leadership level environment; Equivalencies in a combination of other educational background and extensive work experience within a high level, fast paced environment may be considered. Demonstrated understanding and commitment to Covenant’s Mission, Vision and Values; and a Commitment to sound professional ethics, tact and high work standards.
Additional Required Qualifications:
Must be flexible and able to determine and manage multiple competing priorities due to a wide variety of responsibilities; Demonstrated ability to promote teamwork, collaboration and partnership; Must be an ardent learner and be able to use a variety of computer applications including MS Office Suite; Must be extremely accurate and detail orientated; Ability to complete duties and maintain focus in an environment of constant interruptions; Ability to coordinate and organize events and special projects; Excellent communication skills (verbal and written), including proficiency in formatting, grammar, and spelling; Demonstrated ability to maintain confidentiality in handling of sensitive information; Ability to work independently with minimal direction/supervision.
Preferred Qualifications:
Working knowledge of SharePoint, Markview/Oracle programs.
