Your Opportunity:
Key Responsibilities-Administrative Support. Provide day-to-day clerical and administrative support to: Manager, Medication Management Safety Team. Manager, Patient & Resident Experience. Manager, Covenant Health Research Centre. Draft and format routine correspondence (emails, memos, meeting materials) for review. Maintain organized electronic and paper filing systems. Input, update, and retrieve information from databases and tracking tools. Prepare basic reports, spreadsheets, and documents as requested. Scheduling & Coordination. Coordinate calendars and book meetings using established processes. Arrange meeting logistics (rooms, virtual links, equipment). Support coordination of routine activities and program schedules. Assist with tracking key dates, deadlines, and deliverables. Meetings & Committees. Schedule meetings and distribute agendas and materials. Record and transcribe meeting minutes for review. Track action items and follow up as directed. Communication & Customer Service. Act as a point of contact for phone, email, and in-person inquiries. Respond to routine inquiries and redirect more complex issues appropriately. Liaise with internal departments and external stakeholders to coordinate information. Support a respectful, professional, and service-oriented environment. Operational & Program Support. Assist with basic financial and operational processes (e.g., supply ordering, invoice tracking, expense submission support). Maintain records related to program activities and documentation. Support organization of events, education sessions, and meetings. Assist with updating website content or program materials under direction. Provide backup coverage to other administrative staff as required. Please note: Classifications Under Review.
Description:
The Secretary I provides administrative support. The Secretary I performs these tasks in accordance with established standards, and the Mission, Vision, Values, policies and procedures of Covenant Health. This position is covered by the terms and conditions of the CUPE 2111 Collective Agreement.

One year related post secondary certificate required. An equivalent combination of education and experience may be considered.
Additional Required Qualifications:Grade 12 diploma with a post-secondary certificate in office administration or related field, or equivalent combination of education and experience. Minimum 1 year of administrative or clerical experience, preferably in a healthcare environment. Proficiency in Microsoft Office (Word, Excel, Outlook). Demonstrated organizational and time management skills. Strong verbal and written communication skills. Ability to handle confidential information with discretion.
Preferred Qualifications:Experience in a healthcare setting. Basic knowledge of medical terminology. Familiarity with Covenant Health systems (e.g., e-People, RMS, Connect Care). Key Competencies include: Strong attention to detail and accuracy. Ability to follow established processes and procedures. Effective interpersonal and customer service skills. Ability to manage multiple tasks in a structured environment. Dependable, organized, and team-oriented.
